Where Pipedrive wins

Setup speed and daily usability, and we timed it rather than guessed. Signing up (email only, no card) drops you straight into a working pipeline that Pipedrive pre-labels from your signup answers — ours arrived as a generic sales pipeline, which we then renamed stage-by-stage to match an agency's actual process: Referral Lead → Discovery Call Booked → Discovery Call Done → Proposal Sent → Negotiation → Retainer Signed. Renaming, adding three contacts, linking one activity, and populating three real deals across different stages took under 15 minutes total, with zero setup docs needed. A small but telling detail: any deal without a scheduled next activity gets a warning icon nudging you to book one — the software is opinionated about not letting deals go stale, which is exactly the discipline a referral-driven agency needs and won't build on its own.

Where HubSpot wins

Breadth, and one real differentiator we didn't expect. The free tier ships CRM, marketing email, forms, landing pages, and ticketing under one login — genuinely useful if you'd otherwise be paying for three separate tools. Company records also auto-generate an AI-written summary (industry read, likely challenges, a sentiment score) the moment you create them, with zero configuration — something Pipedrive doesn't do out of the box. Setup itself ran slower than Pipedrive but not dramatically: renaming HubSpot's default 7-stage pipeline to an agency's referral-to-retainer flow means Settings → Objects → Deals → Pipelines rather than clicking straight on a board column, but the renamed stages then behaved correctly everywhere afterward. Where HubSpot cost us real time: the standard "Create Contact" panel — reached from the global + button, from a company record, or from inside a new deal — left the Create button permanently disabled with a "Please add all required information" tooltip even once every field, including Contact owner, was correctly filled in. We reproduced this across three separate entry points and multiple attempts over two sessions; the only reliable way through it was a one-time "onboarding wizard" that appears solely for the very first contact a fresh portal ever creates, or a CSV import that bypasses the panel entirely. If you're evaluating HubSpot yourself, budget time for this — or start from CSV import rather than the quick-create panel if you're adding more than one or two contacts.

The pricing trap to know about

Pipedrive's price scales with seats in a straight, predictable line. HubSpot's doesn't. Starter currently lists at $20/seat/month at the public rate (new customers sometimes see a temporary discount to $7$10/seat/month, so check what you're actually being quoted before you compare). The real trap is the jump above Starter: Professional runs roughly 4–5x the per-seat price ($90$100/seat/month), and Professional also carries a one-time onboarding fee — $1,500 at last check, $3,500 at Enterprise — that Starter doesn't have. Agencies tend to budget the monthly seat price and get blindsided by that onboarding line item the first time they need a Professional-only feature (workflow automation and most real reporting live there, not on Starter). Model the full Professional-tier cost, onboarding fee included, before you treat Starter as a safe long-term home.
