The coach & course-creator stack

Stack guide · Last checked: July 2026

Coaches and course creators have the opposite problem from agencies: your product is your audience, so the stack is audience-first. Here's what we'd run to grow a list, launch to it, and keep high-ticket coaching clients organized — and what it costs per month.

We may earn a commission when you buy through links on this site — it never affects our verdicts. beehiiv has had a full hands-on trial; ActiveCampaign and Make are labeled as researched picks — see the individual guides for exactly what we tested. Course hosting and checkout (Teachable, Podia and similar) sit outside the tools we cover, so we don't recommend one here — that's yours to choose.
Our pick

beehiiv (free) as the audience hub, ActiveCampaign for launch automation, HubSpot's free CRM for high-ticket coaching clients. Total to start: $15/month — and $0 of that until your list outgrows beehiiv's free tier.

1. Audience hub: beehiiv (free)

from $0 · free up to 2,500 subscribers · monetization built in

For a creator, the newsletter isn't a marketing channel bolted onto the business — it is the business's front door. beehiiv covers the whole audience layer on one free plan: a real website and subscribe forms, a referral program to grow the list, and built-in monetization (paid subscriptions and ad boosts) for when you want the list itself to earn. It stays free well past most creators' first few thousand subscribers, so you're not paying for reach you don't have yet. We've run beehiiv hands-on — read the full guide →.

2. Launches & email automation: ActiveCampaign

from $15/month (1,000 contacts, billed annually) · priced on your list, not per seat

beehiiv is where your audience lives; ActiveCampaign is where you sell to it. A course launch is really a sequence — a free email mini-course that warms people up, a cart-open series, cart-close reminders, a post-purchase onboarding flow — and ActiveCampaign's automation is built for exactly that. It also tags and segments by behavior, so people who clicked "interested in the cohort" get a different sequence from people who bought the self-paced course. Add it the moment you run your first real launch; before that, beehiiv's own broadcasts are enough. Read our full ActiveCampaign pricing & fit guide →

3. High-ticket client CRM: HubSpot (free tier)

from $0 · free tier, no time limit

If you sell 1:1 coaching or a high-ticket cohort, those conversations deserve better than an inbox and memory. HubSpot's free CRM tracks discovery calls, application-to-enrollment pipelines, and follow-ups without a monthly cost, and it won't make you migrate later if you grow into paid marketing tools. Pure self-paced course creators can skip this entirely; it earns its place the moment you're having sales conversations worth a few thousand dollars each. Upgrade to Starter (from $20/seat/mo) only when you need sequences or deeper reporting.

You can start this whole stack at $0 — beehiiv and HubSpot are free, and ActiveCampaign only comes in once you're actually launching to a list worth automating.

Optional add-on (researched pick)

Glue & automation: Make. Once you're selling regularly, the handoffs pile up: new purchase on your course platform → add the buyer to the right ActiveCampaign sequence → create a HubSpot record for high-ticket clients → post a "new student" note. Make wires those together for $10.20/mo billed annually ($12 monthly, 10,000 credits), and because it's priced per-usage rather than per-seat it stays cheap as you scale. Researched rather than hands-on so far — our Make pricing & fit guide says exactly what we checked.

A note on newsletter platforms

We recommend beehiiv as the audience hub here, but Substack and Kit are the two names creators most often weigh against it — Substack for the built-in discovery network, Kit for its creator-focused automation and commerce. We break down the trade-offs in our newsletter platform comparison. We don't currently have an affiliate relationship with Substack or Kit, so we link them plainly rather than through a tracked link — worth knowing when you weigh our recommendation.

Bottom line

If I were you

Start on beehiiv today and do nothing else until you have a list worth launching to — the biggest mistake creators make is buying launch tooling before they have anyone to launch to. Add ActiveCampaign for your first real launch, and HubSpot only if you're selling high-ticket 1:1. Everything else is premature.
